Importance of Corporate Event Photography

They say a picture is worth a thousand words, and boy do we agree. Photography is all about capturing special moments in time, allowing those present and even those absent, to recall the emotions and atmosphere of an event for years to come. That is why event photography is vital to any successful corporate event.

No matter what type of event you are hosting, whether it is a conference, trade show, awards banquet, or even an open house event, it is important to document your events with professional photography.

Check out some of the latest corporate events our Haute Media team has captured this season and see how these companies are utlizing the awesome event photos!

Benefits of Virtual Events

Virtual Events

As a business or brand, it is important to know the benefits of virtual events and how they can impact your company. Virtual events are not just a fad of the past few years, but a digital experience that is here to stay! Virtual events, events in which all the elements and attendee participation takes place virtually, are oftentimes more flexible, cost effective, and less-time consuming alternatives to traditional events.

There are many positive factors of virtual events that go on to support the fact that they have not dissipated with the times. In fact, Virtual events have increased in popularity by 35% from 2020. Which makes sense when you consider that during times where meeting in person can become an unattainable or inefficient option, virtual events offer a highly effective way to continue on connecting and sharing ideas with people all around the world. Virtual events not only offer many time and cost-saving advantages to the host, they also provide attendees with a freedom and flexibility not available in traditional, in-person events. Even going as far to break the time, travel, and location constraints that can surround attending an in-person event. A person in Arizona and a person in New York can attend the same event without the cost and hassle of hopping on a plane!

Like traditional, in-person events, virtual events are still an incredible way to generate brand recognition and bring information and awareness to an idea or topic. It is also just as easy, if not easier, to gauge key performance indicators such as event attendance and fundraising efforts, which are both key indicators of a successful event.

Virtual events are an incredibly valuable alternative to traditional events that can oftentimes be the better choice for a specific business or company.

What are the Benefits of Virtual Events?

  1. Freedom and flexibility for your participants and attendees
  2. Save money on travel costs for participants and attendees
  3. Reach a wider, global audience
  4. Connect and network with people all over the world, while growing your brand recognition simultaneously
  5. Raise greater funds for your cause by reaching a wider range of people

Feeding Matters Annual Community Virtual Event

Our Haute Media team has partnered with Feeding Matters to produce their annual virtual community fundraising event for the past three years and each year, it gets better and better! Earlier this month, we conducted a live-streamed broadcast of Feeding Matters 2022 Annual Community Event, which was entirely virtual for their online audience. Feeding Matters is a nonprofit that works to improve the system of care for children with Pediatric Feeding Disorder (PFD) through advocacy, education, and research. Their Annual Community Event is held each year to raise awareness and support for PFD, recognize the accomplishments of their PFD families, and share the impact that Feeding Matters is making. The use of a virtual event allowed Feeding Matters to extend their reach and connect with a wider, global audience in order to raise awareness and funds for children who struggle with pediatric feeding disorder. That is one of the greatest benefits of virtual events, to connect and network with a wider range of people who all care about such an important cause.

Hybrid Events

Another great alternative that works to incorporate the pros of both virtual and in-person events are hybrid events. Hybrid events include elements and attendee participation that take place both in-person at a physical location and online virtually. They work to maintain the memorability and personality of your in-person events, while having the flexibility and accommodations that come with virtual spaces. Attendees, speakers, and sponsors who are not able to attend in-person, can be virtually connected to those at the event in order to assist and contribute to the overall success of an event.

Haute Media can help your business with any of your Virtual or Hybrid Event needs. From room layout and set design to audio and music to live video streaming and broadcasting; our Haute Media team will guide you through every step of your event production from initial planning and rehearsals to final delivery and production.

5 Tips For Event Speakers To Captivate An Audience

5 Tips For Event Speakers To Captivate An Audience

Capturing the attention of your audience should be the goal of any event speaker. It can be intimidating to get a live audience to pay attention, especially at a loud event with many distractions and multiple speakers. The goal to differentiate oneself from other speakers and leave a lasting impression can cause immense pressure. A successful speaker has more to contribute than just the context of their words. Factors such as stage presence, personality, and props all play a role in how well an audience remembers your performance. It is important to take a step back to understand all of the elements outside of a speech that contribute to your overall success. Following these 5 tips for event speakers will surely help you captivate your audience and leave them with fond memories of you and your event for years to come!

5 tips for an event speaker

5 Tips For Event Speakers To Captivate An Audience

1. Set The Stage

Small details such as lighting and sound may seem obvious, but these minute details will contribute to the fluidity of a speech and make you look and sound your best. Make sure to double check preparations before heading onstage. It is also important to fill the background in a visually engaging way. Whether with a nameplate, corporate logo, or banner; include visuals that help the audience know who you are and what your business is. When guests are looking back at photos and/or videos, the company logos or event banners will help them recall details of your speech and event.

2. Use Appealing Visuals/Props

Many people retain more information with the assistance of visuals and props. The use of photos, graphs, statistics or props that correlate with the information verbalized in your speech will enhance the overall experience of your presentation. It’s important to note that visuals such as slides, PowerPoints, or videos should not deliver your speech for you. Instead, they are there to compliment your speech and offer a visual representation of your words.

3. Use Big Movements

Standing in the same spot and position for the duration of your speech will likely cause you to lose your audience’s attention. As an attendee, it is not easy to give your complete undivided attention during a long motionless and monotonous speech. So it is up to you as the professional speaker to captivate your audience! Fill the stage with your voice and movements. Talk with your hands, raise your arms at key points, and fluctuate your voice to minimize any lulls in your speech. Having movement in your speech provides variation and will help keep your audience’s attention. Grand gestures not only keep your audience entertained, but also make for great candid photos to look back on!

4. Understand Your Audience

When preparing for any speech, it is always important to first understand who your audience is. This will equip you with the knowledge of how to best interact with your listeners, what visuals and props you should include, what jokes would resonate best, and what technology to incorporate. Tailoring your performance based on the exact audience creates a more memorable experience!

5.  Interact With Your Audience

Don’t be afraid to interact with your audience. Ask questions. Make your way into the crowd. Maintain direct eye contact. If they are wearing name tags, use their names when addressing them. These techniques will liven up any crowd and capture their attention. By connecting with your audience, you add more dimension and humanity to your presentation.

How To Optimize Your Hybrid Event

Hybrid Events

How To Optimize Your Hybrid Event

Learn how to optimize your hybrid event by following these pro tips!

A hybrid event combines a live in-person event with virtual online components. When it comes to planning a hybrid event, it is all about blending the “live” in-person and “virtual” digital channels to create a seamless shared experience for your entire audience. The following tips provide a great starting point to pave the way towards successful hybrid events.

Identify Your Event Goals

Before you can begin to optimize your hybrid event, you should identify your goals and objectives. Start by determining your target audience, the event type/scope, and the type of design and engagement you are going for.

Identify the event type, size and experience you wish to create for your attendees – will you host a 30 minute webinar, a 1 hour single stream event, a full day event with breakout sessions, or even a 2-4 day event with multiple streams and sessions?

Choose The Right Virtual Event Platform

Once you have determined your target audience and event goals, the next step is choosing the right technology and virtual event platform to support the experience you aim to deliver. In order to create an engaging experience for your both your “live” in-person attendees and your “virtual” remote participants, it is important to choose a virtual event platform that meets all of your needs. There are numerous event platforms that offer various digital features to engage your audience both on-site and online.

When choosing your virtual event platform, a few components to look for include:

  • High Quality Streaming Capabilities
  • Custom Branding
  • Live Audience Engagement (i.e. Live Chat, Polls and Q&A)
  • Social Hubs or Virtual Lobbies
  • Second Screen Capabilities
  • Ease of Use/User Friendly
  • Data Analytics to measure the success of your event with advanced reporting

Second screens help bridge the gap between in-person and virtual audiences by encouraging cross-channel participation. The first screen at an event is the stage and main presentation screen. The second screens are your mobile devices (i.e. tablets or smartphones) that are used by audience members to see and interact with the presentation content. Second screens allow your audience to participate in presentation slide sharing, note-taking, polling, survey and Q&A participation, games, quizzes, and more!

Plan Your Production To Optimize Your Hybrid Event

After you have determined which event platform is best for you, it is time to starting planning and putting together all the pieces of your production.

First, make sure you have assembled a professional media production team in order to handle all aspects of the live and virtual production including on-site audio/video requirements and remote speaker management. Give yourself the peace of mind in knowing you’ll have a team of professional to deliver broadcast-quality content and provide support for A/V production. Plus, as media professionals we can offer multi-location productions to bring speakers at various sites together in a single shared experience. There is never a reason to cancel sessions for presenters or panelists that cannot attend physically, we can bring them in remotely!

Next, choose a theme and determine what content you want to deliver.  Keep in mind, it is important to create a mix of live and on-demand digital content that is easy for viewers to find and follow. Offer a variety of content including welcome videos, keynotes, panels, and breakouts.

Incorporate audience engagement by enabling live chat, Q&A, polls and more to encourage your audience to interact and communicate with one another. You can engage an even larger audience by sharing your stream on your social media channels (i.e. YouTube, Facebook Live, LinkedIn Live, etc.) this will help you amplify your hybrid event by spreading the word and reaching a wider audience, allowing viewers from around the globe to tune in and participate!

Live chat tools allow your audience to interact from anywhere in the world. During our live broadcast of the Feeding Matters 8th Annual Community Event, the live audience chat was a fan favorite!

If you’re asking yourself how to optimize your hybrid event, follow these tips to help you prioritize your event framework and choose the right virtual platform that will allow your attendees to network with each other and optimize your overall event experience!

Be sure to subscribe to our blog and newsletter for more great tips at HautePhotoVideo.com and contact us when you’re ready to start planning your next hybrid event!

4 Tips For Planning A Successful Corporate Event

planning corporate events

Planning a successful corporate event is a great responsibility that requires plenty of preparation. Corporate events range from conferences, trade shows and conventions to award ceremonies, networking, team building events and more. Whether you’re hosting a large incentive reward retreat or an exclusive company gathering, here are 4 great tips that will help you succeed in planning any corporate event!

Choose A Fun Theme

In the early stages of planning your corporate event, it is important to select a unique theme that will reflect your brand and resonate with your guests.

Select a theme based around your event objective and make it memorable by incorporating creative decor, pops of color, festive food and drinks, and of course your logos and branding.

If you’re hosting a corporate party or team building event, consider a Casino Night or a Western Barnyard BBQ!

Pick A Great Location

In addition to themes and decor, another important element in planning your corporate event is choosing the perfect location!

Phoenix is home to some incredible event venues including a wide variety of large resorts, the Phoenix Convention Center and smaller spaces for exclusive corporate gatherings.

When choosing a location or booking a venue for your event, a few important factors to consider are size/space, budget, and convenience. Ideally, the location should be easily accessible to your guests, which will help promote a strong turnout.

Be sure to take advantage of the seasons! If weather permits, outdoor events are always a guest favorite and give you endless possibilities for activities (not to mention offer beautiful views for your event backdrop)!

Include Interactive Entertainment and Activities

Whatever theme and location you decide on, make sure to also include interactive entertainment and activities to keep your guests engaged! Choosing the right type of entertainment will help ensure your event is successful and memorable.

Live music is always a great way to attract your audience and you can also wow your crowd with different performances from comedians, magicians, artists, and more!

Trade show exhibits are a great opportunity to show off your products while interacting with your guests. During conferences and conventions, include breakout sessions and hands-on workshops that focus on audience participation. You can even turn a corporate meeting into your own game show – the possibilities are endless when it comes to corporate event planning!

Promote Your Event

After putting together the perfect plan with a unique theme, location, entertainment and activities, it is time to spread the word and promote your event!

Getting the word out to your guests early in advance and sharing the details online is important to ensure a strong event turnout.

To promote your event, send your entire contact database a custom newsletter or e-blast with the event invitation and details. Also share it on your blog, website, and social media channels. You can even create a Facebook page or a custom landing page on your website for event promotion!

Whatever platform you use to reach your target audience, make sure your communication is clear and includes all of the important event information, plus a few sneak peek details to get everyone excited about what’s to come.

Planning and executing a corporate event is no easy task but keeping these 4 tips in mind during your preparation will help you host a successful and memorable corporate event!

How Desert Botanical Garden Created a Unique Hybrid Event Experience

Desert Botanical Garden hosted their annual Dinner on the Desert event on Saturday, April 24th, 2021 and for the first time integrated a virtual auction and drive-thru dining package, creating a unique hybrid event experience for their guests.

Dinner on the Desert is always a magical event and we were thrilled to capture this year’s first-ever hybrid experience. Here are three key elements Desert Botanical Garden incorporated to create a safe and successful hybrid event.

Virtual Auction

Prior to the live event, Dinner on the Desert supporters had the opportunity to register and participate in a week-long virtual auction, where guests were able to bid on distinctive plants, pots and garden art, plus one-of-a-kind experiences. Online auctions are not only a great way to promote your event but also to get your guests involved and raise money to support your cause!

Dine-In or Drive-Thru Dinner Package

On April 24, guests safely gathered at the Garden to celebrate Dinner on the Desert with Event Chair Sara Morgan & Executive Director Ken Schutz, friends, family and colleagues. Guests began the evening with cocktails, hors d’oeuvres and socializing with friends while exploring Exhibit Earth, a floral and plant installation by world-renowned floral designers, Natasha Lisitsa and Daniel Schultz of Waterlily Pond Studio, followed by an exquisite dinner in the Garden.

This year, Desert Botanical Garden offered guests two ways to share in this spectacular dinner event. Guests had the option to enjoy dinner in the Garden and those who preferred to dine at home had the opportunity to enjoy the cocktail party and exhibit, and then drive-thru the Schilling Events Plaza to receive a packaged four-course dinner to take home that included two bottles of wine and a parting gift.

Here’s a look at Earth, created by Natasha Lisitsa and Daniel Schultz of Waterlily Pond Studio.

Live Event Interaction

Guest Portraits – As guests arrived, they had the opportunity to have their portrait taken at the Desert Terrace Garden with a beautiful backdrop of the Butte mountain. Portraits are a perfect keepsake your guests will love and have to remember your special event for years to come!

Live Entertainment – After having their portraits taken, guests walked along Desert Discovery Trail while  enjoying cocktails, hors de oeuvres, and live music by He Said, She Said.  While viewing Exhibit Earth inside Dorrance Hall, guests enjoyed a live performance by Louis Landon and during dinner and dessert, performances by The Phoenix Symphony.

Desert Botanical Garden’s Dinner on the Desert hybrid event was a huge success and we can’t wait to see what the Garden has in store for next year! View all of the 2021 event photos at hautephotovideo.com and visit dgb.org to learn more about how you can support Desert Botanical Garden.
